Volunteer work is a breeze

You're absolutely right! It is entirely possible to organise the regular volunteer work (dugnad) in a simple and efficient way. “In the past”, it was sticky notes, random emails, home-made Excel lists and to-do lists. With Rubic Funksjonær, the information is posted in one single place. The volunteer coordinator deals only with Rubic and nothing else.

The time for volunteer work comes round just as fast every year. As we know, there is more than one occasion! All the members of the sports club are registered in Rubic. Here you have easy access to all email addresses. Once the volunteer work has been decided, the volunteer coordinator posts information about it on a dedicated page in Rubic Funksjonær. A landing page is created with details and shift schedules, and an email is sent to the members with a link to this page. Let's say the clubhouse and the three kiosks by the football pitches need staining, and the kiosks also need more storage space. It is decided that the first coat on all the buildings and all the carpentry will be done one weekend in August. Those who can help sign up for Saturday or Sunday. The second coat is set for a weekend later. Same thing there. The volunteers sign up, and the volunteer coordinator can sit back and watch the shift schedules fill up.

Once the volunteer teams are in place and messages need to go out, it is easily done with an email or text message. “We hear that the first coat went like a breeze, and that kiosks 1 and 2 are ready with more cupboards. Those of you tackling the second coat and what is left have nothing to fear. A good idea to bring insect repellent!”

The next time there is volunteer work coming up, the procedure is the same. The work is described in Rubic Funksjonær, and an email to the members spreads the good news. Efficient! That's how we like it.
