Associations

Good communication with association members increases participation and engagement.

Many associations have grown over time, with a membership system on paper or in spreadsheets. That quickly becomes impractical when it comes to paying membership fees, calling members to volunteer work or registering for events. Fortunately, there is a tool that makes all this easy.

Many associations struggle to reach their members, keep them engaged, bring everyone together and maintain a steady cash flow. With the Rubic membership system, much of this can be done with a single click, so you can spend your time on what you do best.

Minimal administration
Most associations rely on voluntary work. Nobody wants to spend more time than necessary on administration. But with many members, events, volunteer work days and registrations, it can quickly add up to many hours of spreadsheets, often combined with other solutions. With the Rubic membership system this is easy, either on a PC or, even easier, in the app. Whether it's paying an invoice, signing up for an event or volunteer work, or checking your own details in the system.

– Everything is done on a voluntary basis, and over time the old system meant a lot for the treasurer to keep track of. It took too much time and became too complicated. Nobody wants to take on a voluntary role that requires 10-20 hours of work a week. Today, members receive an email with a link to their Rubic profile and can check that all their details are correct. If they want to add membership of more than one club, they choose that too, before the invoice is ready in the system, explains Geir Ottar Enger, chair of BMW MC Norge.

Better communication
With many members it can be hard to keep track and collect membership fees, and even harder to reach everyone with important information. Many struggle to get members to turn up for volunteer work or take part in the club's events. Often it is simply down to poor communication – not having good enough tools to reach everyone. Rubic's membership system is connected to the association's member register, where you can easily notify all members at once, whether it's about collecting membership fees, signing up for the next gathering, announcing a change or getting everyone to turn up for volunteer work.

– Since we started using Rubic's system, demand has been enormous. We now have to make it clear that only the first to sign up will get a place, says Svend Strand, chair of De Sandvigske Samlingers venner.

Stable income throughout the year
It is easy to get an overview of who has paid and who has outstanding amounts. In addition, each member can keep track of their own bills via the app or Rubic's web pages. Invoices and payment reminders can be sent manually or automatically, whichever suits you best.

  • A steady cash flow is best for all clubs and associations. Through Rubic you can now invoice membership fees monthly, for example – it is more convenient for the members, and at the same time it improves the club's liquidity, with a more even flow of money throughout the year, concludes Rune Solholm Bakken, founder of the IT company Rubic.

NIF approved
Rubic is a member register approved by Norges Idrettsforbund (NIF). All Norwegian sports clubs must use a digital member register approved by NIF so that the Norwegian Ministry of Culture and Church Affairs has an overview of all members. You can safely choose Rubic, as we meet this requirement.
