There are many events in our long, narrow country. From smaller ones, such as the annual handball cup in the home village, to large national events such as Norway Cup, Landskappleiken and De Nordiske Jakt- og fiskedager. What they have in common is the indispensable effort of officials and volunteers. They also have in common that they struggle to get enough officials and volunteers. With Rubic Funksjonær, you have a user-friendly tool for recruitment. A landing page that can be distributed widely.
Rubic Funksjonær is a complete online solution for running small and large events. Volunteer recruitment, organisation, communication, staffing, reporting. You don't have to invent your own system and make lists in Excel. Everything to do with running the event is described on a dedicated landing page. An important feature is the registration form, so that volunteers can sign up for duty efficiently, 24/7.
Good distribution
The focus is on getting the landing page out in as many channels as possible. The link can be emailed to contact lists. Old and new contacts visit the same landing page, and with many eyes on the same page, the chances of getting lots of volunteers on board are obviously high. And with the link out in many inboxes, you can sit back for a little while and watch the shift schedules fill up.
Integrated with Rubic Medlem
Rubic Funksjonær is a separate module integrated with the member register. Rubic Medlem is the foundation. All volunteers from previous years are stored here, with contact details and history. Some well-established events have experienced volunteers who come back year after year. Take the Peer Gynt festival, which is performed every year at Gålåvatnet and has been since 1967. General manager Marit Lien reports an annual turnover of volunteers of about 10%. In other words, there are many “good old faithfuls” on the team. They are stored in Rubic Medlem. So once the information about this year's festival is in place in Rubic Funksjonær, it is easy to get the information out and fill the shift schedules with names.
– Around ten per cent of the volunteers are replaced and need to be brought into the loop with everything that happens in the run-up to the performances. We of course hope that everyone will want to come back the following year. There are actually some who have been involved for 30 years. When we have a system like Rubic to organise everything, it is easier to keep track of things getting done.
