Membership system for sports clubs — Everything you need to know

All sports clubs affiliated with NIF need an approved membership system. But what should you look for, and how do you choose the right one? This guide gives you the overview.

What is a membership system?

A membership system is a digital platform for managing the club's members. In its simplest form, it is about keeping track of who is a member, contact information and payment status. For Norwegian sports clubs affiliated with NIF, it is also a tool for meeting reporting requirements.

A good membership system does far more than this. It automates membership fee invoicing, simplifies communication with members and parents/guardians, and gives the board a complete overview of the club's operations — from finances to activities.

The NIF requirement: Approved integration

All sports clubs affiliated with the Norwegian Confederation of Sports (NIF) are required to complete coordinated reporting (samordnet rapportering) every year. This reporting documents the number of active members and forms the basis for grants, the right of representation at the Sports Assembly (idrettstinget) and the number of votes.

To complete coordinated reporting, the club needs an NIF-approved membership system. NIF offers its own free tool for this. But there are also systems with approved NIF integration that can be used instead — or in addition.

Important: The consequences of not reporting can be serious. The club can lose grants, voting rights and, ultimately, its affiliation with NIF. Make sure you have a system that makes this process easy.

What should a good membership system include?

The functional requirements vary with the club's size and complexity. But here is a checklist of what most sports clubs need:

  • Member register — Overview of all members with contact details, age, team/group and history
  • NIF integration — Approved integration for coordinated reporting
  • Membership fee invoicing — Automatic sending and follow-up of membership fees and training fees
  • Payment solution — Vipps, card, eFaktura or AvtaleGiro for easy payment
  • Communication — SMS, email and push notifications to members and parents/guardians
  • Mobile app — App for members with an overview of activities, payments and messages
  • Activity planning — Training sessions, matches and events with registration and attendance
  • Facility management — Pitch and facility calendar, booking and facility overview
  • Accounting — Integration with an accounting system or a built-in accounting module
  • GDPR security — Secure handling of personal data in accordance with Norwegian law

Free tool or complete platform?

For many clubs, the choice is between NIF's own free tool and a complete administration platform. Here is a high-level comparison:

How to choose the right membership system

The choice depends on the club's size, ambitions and day-to-day needs. Here are some questions that can help you decide:

For small clubs (under 200 members)

If the club primarily needs a simple register and coordinated reporting, NIF's free tool may be sufficient. If you need better communication, there are dedicated communication apps as a supplement — but be aware that you then end up with several separate systems.

For medium-sized clubs (200–800 members)

This is where the needs start to become more complex. Membership fees, payments, activity planning and communication take a lot of time. A complete system like Rubic brings everything together in one place and saves the board many hours a week. Rubic Sport Standard covers most needs — see the prices.

For large clubs (800+ members)

Large clubs need facility management, a department structure, accounting and often facility rental. Here, a fully-fledged platform like Rubic is the natural choice. Rubic Sport Standard gives access to the pitch and facility calendar, and Premium adds rental and external booking. Match integration can be added as an add-on module — see the prices.

For multi-sport clubs and national federations

Multi-sport clubs have special needs, with several departments under one roof. Rubic Sport supports department structure, shared pitch booking and reporting across sports.

Rubic — complete platform for sports clubs

Rubic Sport is built for Norwegian sports clubs that need more than a simple register. The platform brings together the membership system, Vipps payments, activity planning, communication, facility management and accounting in one and the same system.

Rubic is an NIF-approved partner and is used by over 500 Norwegian organisations — from small clubs to large events such as Norway Cup, Holmenkollen Skifestival and Tons of Rock.

With the Rubic Connect app, members and parents/guardians get a full overview of training sessions, payments and messages right in their pocket. The board no longer has to use several systems, and all data is in one place.

Frequently asked questions

What is a membership system for sports clubs?

A membership system is a digital platform for managing the club's members — registration, membership fees, communication and reporting. For sports clubs affiliated with NIF, having an approved system for membership reporting is also a requirement.

Does NIF require sports clubs to have an approved membership system?

Yes. All sports clubs affiliated with the Norwegian Confederation of Sports (NIF) are required to report membership numbers annually through coordinated reporting. This requires an NIF-approved membership system. NIF has its own free tool, and systems such as Rubic also have NIF-approved integration.

What is the difference between NIF's free tool and Rubic?

NIF's free tool is a basic tool for member registers and reporting. Rubic is a complete administration platform that, in addition to a membership system, includes Vipps payments, a mobile app, facility management, activity planning, communication and accounting.

Does a membership system cost money?

NIF's own basic tool is free. Rubic starts from NOK 600/month and includes far more functionality. Many clubs save money overall by bringing everything together in one system instead of paying for several separate tools.

Is a communication app enough?

Pure communication apps are made for organising training sessions and matches, but usually lack NIF-approved reporting, membership fee invoicing, accounting and facility management. Most clubs that use a communication app therefore still need a separate membership system as well.

What is coordinated reporting?

Coordinated reporting (samordnet rapportering) is the annual reporting of membership numbers that all NIF-affiliated sports clubs must complete. The reporting forms the basis for grants, right of representation and number of votes. It is usually done in January–April via NIF's own tools or an NIF-approved system such as Rubic.

Ready to simplify running your club?

A good membership system is the foundation of a well-run club. Whether you manage with NIF's free tool or are ready for something more, the most important thing is that you have a system that actually makes everyday life easier for the board, coaches and members.
