1. Help with duplicates in the system
One of the most common problems Rubic.no staff come across is when a person has several user accounts in the system. This leads to problems accessing their own or their children's activities, or problems logging in. The quickest and easiest solution to this problem is to contact support, either by email or phone.
2. Help with KID and account number on invoices
If you have trouble getting the KID and account number to show on the invoice, simply tap “Choose payment method” at the bottom of the invoice and select “Invoice”. If you don't see this option on the invoice, it means the organisation does not have KID and account number available as a payment method.

3. Help with integrating members with NIF
If you're struggling to integrate members with NIF, it's a good idea to double-check all the details and make sure they match what is registered in the National Population Register. If that doesn't help, you can contact support for help, and it may also be a good idea to check with NIF.
4. How to invoice memberships
There are two ways to set up a membership: either the organisation sets it up or the member does it themselves. You can read more about the procedure here, or watch a video that explains it.

5. How to send a payment reminder
Invoice reminders can be sent from the member list or the invoice journal. The advantage of sending reminders from the invoice journal is that both you and the invoice recipient can see the number of reminders, and you can filter invoices more easily. You can read more about exactly how to do this here, where you will also find a video describing the procedure.
6. Linking family members to a member
Administrators can add family members in connection with family memberships and to allow members to manage another person. Members can also add family members themselves via My Page, or, if the club lets members set up memberships themselves, via the confirmation and payment message. Here you'll find a user guide on the subject.
7. Setting up a registration
Setting up a registration is a bigger job, and there are several elements to a registration, both when setting it up and when using it. That's why we have an entire page of different guides covering registration.
8. How to set up payment plans
A payment plan is a setup for invoicing a fee over several instalments. By setting up a payment plan, you can split one fee over several instalments, and you can set up automatic invoicing of that fee. You decide yourself in the setup when the invoice is sent out. You'll find a setup guide here.
9. How to create an activity in Rubic Connect
The easiest way to show how this is done is with a video of the procedure, which you can find here.
10. Refunding an invoice
If you want to refund an invoice, you can easily do so by opening the invoice and tapping “Edit”. If the user paid by card or Vipps, you'll see an X to the right of the payment, which is the refund button. Tap it and choose the reason for the refund. If the user did not pay by card or Vipps, this X will not appear. In that case you must refund from the organisation's account.
To find the invoice, either look up the person in the member list, select invoices first and then view on the relevant invoice. Or you can go via reports, find the invoice journal, search for the person there and then select the invoice.
User manuals and videos
Rubic has an extensive library of user manuals and videos that will guide you through the processes for solving problems and managing your membership. Many of the manuals have recently been updated, and several are brand new. You'll find them all here. And Rubic's own YouTube channel, where many of the procedures are shown, can be found here.
Rubic.no puts customers' needs first and has a dedicated and experienced support department ready to help you with any problems you may have with the platform. If you have questions or problems, don't hesitate to get in touch by email or phone.
