Øyafestivalen, which celebrated its 25th anniversary in 2024, has always been known for its ability to reinvent itself and create unforgettable experiences for audiences, volunteers and staff alike. In 2024, no fewer than 2,554 volunteers took part, in addition to several volunteer work (dugnad) groups, and the festival had around 2,500 accredited participants. To handle the large number of volunteers and accredited participants, Øyafestivalen has chosen to partner with Rubic, which will help simplify and streamline the processes.
Erik Stangeby, project manager at Øyafestivalen, on the new partnership with Rubic:
Choosing Rubic as supplier
The choice of Rubic as supplier was based on several key factors. Øyafestivalen wanted a partner that could help further simplify the processing of volunteer applications and accreditation applications. Rubic offered a solution tailored to the festival’s needs, with a new system developed from the ground up. This system takes Øyafestivalen’s specific wishes and needs into account, which was decisive in the choice of a new supplier, says project manager Erik Stangeby.
With Rubic Organizer and the new accreditation system, Øyafestivalen expects organisation to become both simpler and more efficient. This applies both to applicants and to those who process the applications. In addition, the new system will make check-in of all approved accredited participants at the festival much smoother next year.
Øyafestivalen’s long-term strategy
The partnership with Rubic fits perfectly into Øyafestivalen’s long-term strategy to develop the festival further. Øyafestivalen has always aimed to reinvent itself and create the best festival experience. By working with Rubic to develop a new system, the festival is taking a big step towards achieving this goal.
Challenges and solutions
The biggest challenge in implementing Rubic’s solutions will be training everyone involved. It is important that everyone understands how the new system works and what possibilities and limitations it has, says Erik. Øyafestivalen, together with Rubic, plans to tackle this challenge by providing thorough training and support for all users.
Øyafestivalen hopes that the new system will be intuitive and easy to use, so that they can save time and resources on training. The goal is for the system to be as user-friendly as possible, so that both new and experienced users can benefit from it without major difficulties.
Feedback and future expectations
Øyafestivalen has high expectations for the partnership with Rubic, both before and during the festival. We expect Rubic to follow the development of the new system closely, take the festival’s input seriously, and regard Øyafestivalen as an important partner. It is particularly important that Rubic follows up closely before and during the festival itself, says Erik.
So far, the team at Øyafestivalen has not received much feedback, but there is great excitement about seeing the first draft of the new system in October. Øyafestivalen looks forward to implementing new solutions, especially in access control, and hopes to learn from Rubic’s experience with other customer segments, such as sport and sporting events.
With Rubic as a partner, Øyafestivalen looks forward to a new era of improved organisation and an even better festival experience for everyone involved.
