“Were you a volunteer at the Lillehammer Olympics?” Volunteering was on everyone's lips in the years before, during and just after the 1994 Olympics, soon 25 years ago! Had Rubic Funksjonær existed back then, it might well have been used. To make staffing needs visible, organise shifts and tasks, communicate with all volunteers, and much, much more.
Even somewhat smaller events can be demanding enough to manage well. But what events have in common, whether sport, culture, outdoor activities, you name it, is that there is a lot to coordinate. Without a system that covers all needs, you quickly end up with lots of sticky notes and Excel spreadsheets. But the system exists, and it is called Rubic Funksjonær.
Easy recruitment
For most events, getting hold of enough volunteers is the really big job. Some are enthusiasts who take part year after year; others take more work. It obviously helps if the event organiser has a good recruitment system to work with. With Rubic Funksjonær, you create a dedicated landing page with all the content for the event. The link to it can be emailed to last year's volunteers or other contact lists, or, perhaps best of all, you use Rubic's member register. Rubic Funksjonær is a module integrated with Rubic Medlem. Once the landing page is set up and distributed, things start to happen! Among other things, all the keen enthusiasts sign up on the landing page to say when they are available. As the event organiser, you can see things taking shape.
Communicating with volunteers
The Peer Gynt festival at Vinstra has 350 volunteers. Imagine what a job it is to give messages and feedback to all of them! Peer Gynt started using Rubic Funksjonær a couple of years ago, and now the flow of information runs as smoothly as can be. General manager Marit Lien has plenty of kind words to say.
“The first year, Rubic was mostly used to send out emails and text messages. Today you will find all kinds of information from the general manager, important messages and thank-you-for-today messages.”
“When we have a system like Rubic to organise everything, it is easier to keep track of things getting done. You don't have to keep asking the group leaders whether various information has been sent out. It helps a lot when you don't have to be ‘that controlling manager’ all the time, Lien emphasises.”
