Smart thinking behind smart solutions

In a sports club, most of the time should be spent on the sport. The administrative side also has to be done, but it shouldn’t take more time than the core activity itself. A member register connected to NIF is efficient and ensures the right balance.

Close to the information

It goes without saying that sports clubs need some kind of system to handle member information. Rubic’s member register has been developed on the basis of many years of experience from sport and in close dialogue with the sports community. Every feature, every single button, has been carefully thought through.

“Most member information is updated by the team manager/team administrator,” says Anders Retterås, general manager of Rubic. “That role is closest to the players and is best placed to do this job. When the team manager updates information about the team in the activity app LagetMitt, this update also updates the main member register. Since Rubic Medlem is connected to NIF, the update goes there too.”

Time-saving

Øyer Tretten Idrettslag has used Rubic for 3 years. General manager Jan-Erik Fossheim confirms that functional solutions mean administrative tasks take less time today.

“Each team administrator keeps the information about their team up to date and makes sure that name lists and contact details are correct. Any adjustments are made quickly in LagetMitt. As general manager, I don’t need to collect name lists and contact details when, for example, I’m invoicing the membership fee. All I really need to do is press a button on the PC.”

Green and red give a clear overview

A good overview of all members and of invoicing and payments are other functional services that Jan-Erik Fossheim highlights.

“It’s incredibly handy to get an overview of who has paid an invoice and who needs a reminder. We send out invoices by email. Members can choose whether to pay by card or via online banking. And as soon as the payment has gone through, a green colour appears next to the member. If I see red, I go in and send a reminder. I do that with a single click, too. All the efficient solutions for everything to do with the finances mean that I now spend less time on administration than before,” says Fossheim.

Working smarter

Asked which Rubic feature he likes most as general manager, Jan-Erik Fossheim answers as follows.

“It’s probably the fact that those of us who post activities such as training sessions, training camps etc. can do it in one single place, and then the information is distributed to where it belongs without us having to follow up with emails, text messages and other ways of informing people. For example, the football pitch coordinator can go onto the PC and allocate pitches and times to the different teams. Those affected see this in the activity app LagetMitt. A very smooth way of getting information out. Parents also find this very easy to follow. If the Andersen family has three children who all play football on different teams, mum or dad gets all the activities for the children gathered in one overview. That makes it easier to plan a busy and active family life.”

In summary, Rubic’s good features enable the general manager and others in the administration to work smarter. Members young and old are guaranteed the right information, both in the form of invoices and the time and place of training and matches.
