The annual general meeting of the club or sports club elects a new board for the coming year, and there are important points that new board members need to familiarise themselves with.
Board members must first familiarise themselves with their roles and functions, so that everyone knows who does what and what is expected of each role. It is useful to go through the sports club's constitution, as well as the statutory duties of the board. A number of areas of responsibility must be divided up within the board, and those whose roles legally bind the sports club must also be made aware of this. The board should appoint a person responsible for police certificates in the club, as well as two people who can operate the bank accounts. Fidelity insurance must also be taken out for these.
To make sure necessary information reaches where it needs to go, it is also important to remember to update the sports club's information in NIF's Sportsadmin/Klubbadmin, as well as the certificate of registration in Brønnøysundregisteret. A board member should also be appointed as responsible for the sports club's electronic member register.
The next step is to go through the budgets and the action plan for the coming year. What visions and values does the sports club have – and should it have? What important events are happening in the coming year? If the club has a club handbook, this must also be reviewed.
If the annual general meeting has elected a new nomination committee, the nomination committee's procedures must be handed over to the new members. It is also wise to go through the board's working procedures, the standing agenda for board meetings, any “homework”, notices of meetings, minutes and how information is to be given to members, so that all board members are aware of their duties. Apart from the annual general meeting, which is the sports club's highest authority, it is the board that holds authority between annual general meetings. If the annual general meeting has adopted amendments or additions to the constitution, or other changes to the organisation such as setting up or closing down sections, the minutes of the annual general meeting must also be sent to the regional sports association.
The most important thing for good board work is good cooperation, and that board members talk to each other. When everyone knows what their tasks are and carries them out as they should, everything is in place for a good new year in the sports club!
