Events large and small depend entirely on volunteers. That is why it is important to have a good system with an overview of those who have taken part before and tools for recruiting new people. But perhaps most important of all: a system that makes it easy to communicate with each other. When several hundred volunteers need to be organised, it is important to have a user-friendly and efficient system.
We see that after 2 years of the pandemic, more and more event organisers are struggling to find volunteers, so it is important to choose a system that helps customers with exactly this. The recruitment process should be simple and easily accessible both for those who are interested and for the organisers. With Rubic Funksjonær, you have a user-friendly recruitment tool with a landing page that can be distributed widely.

Volunteering made simple and efficient
Rubic Funksjonær is one of the exciting modules Rubic offers among its products, and it has received a lot of attention in recent months. The system is widely used and has already taken on a major role at larger events such as ParaVM2022, Peergynt, the 2022 European Air Gun Championships, World Cup Kvitfjell, Norway Cup, World Cup Lillehammer, Raw Air, Baldus Cup and many other large and small events.
Rubic Funksjonær is a complete solution for managing volunteers – here you can plan your event from A to Z. The system is constantly being developed to optimise our solutions for recruitment, organisation, collaboration, accreditation and shift planning.
Rubic Funksjonær is a separate module that is integrated with the member register. Rubic Medlem is the foundation. All event staff from previous years are stored in the system, with contact details and history. This makes it easy for event organisers to stay in touch with the volunteers before, during and after the event.

Companion app with attendance registration
An app for volunteers with a communication platform, an overview of shifts, accreditation and communication. The recently launched Rubic Connect app is actively used by both the event organisers and the volunteers. In the app, volunteers get an overview of their shifts with the related information. Those in charge can easily communicate via group messages and find the volunteers' contact details. There is also a news feed in the app, where you can easily post important messages and status updates and also upload photos.
Not least, you want an overview of who is due to turn up for volunteer work and, if necessary, to record absence if someone has not shown up. Rubic Connect gives you a full overview of the volunteers and lets you register those who have not turned up. Volunteers can also register their own attendance in Rubic Connect – this is done using GPS coordinates in the app. If the person is not nearby and tries to register attendance, it will not work.
Accreditation
At larger events, there is another important need worth bearing in mind: accreditation of volunteers and other participants at the event.
We have taken this into account in Rubic's volunteer solution – you can choose a digital accreditation card or print out accreditation cards, both with the option of uploading a photo.
Rubic's accreditation feature makes it easy to keep track of who is where and who should have access to the different areas of the venues. Rubic also has an integration with FIS's system for participants, support staff and other roles.
