9 ways for sports clubs to save a lot of time with a complete solution!

6 tips for choosing a new membership system

Allocating facilities made easy. Communication that reaches all members in real time. Good organisation, a steady financial flow and more time for activities. These are some of the things Rubic's membership systems can help you with.

From the start, Rubic's membership system has been based on the needs of sports clubs. The aim is to help clubs run as simply and efficiently as possible, with as little time as possible spent on administration. The system is in continuous development, in close cooperation with the sports clubs that already use it. Rubic Medlem is approved by Norges Idrettsforbund (NIF) and has a seamless integration.

1. Easy payment and login with Vipps

Membership fees, charges and registration fees are what keep associations and teams going. Without this financial backbone, it is impossible to keep going over time. Very few people deliberately avoid paying an invoice. In Rubic you can easily pay both membership fees and any registrations with Vipps. In addition, as a new user you can identify yourself and create a new user account with the same solution.

2. Full overview

Most sports clubs have several resources that need to be allocated or booked, such as pitches, halls and rooms. For whoever is responsible for allocating these resources, it can quickly become hard to keep track.

With Rubic's facility calendar (formerly the pitch calendar), administrators, coaches, members and parents all have a full overview of what is happening where. Here the coach can set up regular training sessions, make quick changes, allocate resources across pitches and halls, and plan. All in one place. When changes are made, everyone involved receives push notifications, so everyone is always up to date.

Allocating resources and pitches is a big puzzle, but with Rubic's facility calendar it is a puzzle that always comes together – as well as giving you a full overview.

3. Rubic Connect

Rubic Connect ties all of Rubic's features together and keeps you up to date at all times. All in one app, so you always have access to everything right in your pocket. In addition to having your own page, where you have an overview of your membership, can pay your membership fee and identify yourself with a QR code, you also have access to features such as registration, payments, access control and digital key – and it is a powerful communication tool as well.

4. Digital key

Forget keys and key cards – directly in the Rubic Connect app you can now get access to open doors with your phone, for example for your training session every Tuesday and Thursday at 19:00. Or, as a coach, have access to different doors.

5. Activity calendar

A dedicated activity calendar has recently been developed in cooperation with Friskis&Svettis. With it, users have full access to which activities take place when, what they involve, where they are and which coach is responsible, as well as the option to sign up, cancel and pay.

6. Registration

Create tailored registration forms that can be used for everything from registration for large events to smaller gatherings and joining the association. Each form is presented on its own landing page, where you can also take payment directly as people sign up.
If, for example, you are organising an event, a gathering or a meeting, you can easily create a registration. You can also create a form for joining the association or club, or for different training groups. The registration form can be tailored with different questions for the participant, and you can control details such as price and tracks yourself.

Easy to use, and you can pay with Vipps in just a couple of taps. At the same time, you have a full overview of what you have signed up for, which payments have been made and what may be coming up.

7. Access control and accreditation

Every member in Rubic can be identified by a personal QR code. It can be used for access control, to keep track of who is present, and also for things like accreditation at an event.

8. Communication

With the Rubic Connect app, it is easy to always stay up to date. The team's coach can quickly notify everyone involved of changes – a new time or pitch, for example. With messaging for both individuals and groups, this is quick and easy. The app also has a news feed, where you can share news and photos from events, training sessions, volunteer work (dugnad) and matches, for example, and those with access can both like and comment.

All features in Rubic's membership system are standard solutions to begin with, and are easy to implement for a quick start. At the same time, the system is in continuous development together with its users, as new needs keep arising that the developers create good solutions for.
Whether it is a sports club with few or many members, large umbrella organisations such as Norsk Skytterforbund or extensive events such as Holmenkollen Skifestival. All of them started from the standard solution and came with requests, which were then integrated into the solution that is available to everyone. Because that is part of the Rubic method: continuous further development based on new customers' needs and wishes, which is then made available to everyone

9. Support

Rubic places great emphasis on communication with its customers. Good support at every stage, and being available at all times, both during implementation and afterwards, is very important to all employees.

When a new customer signs an agreement, Rubic prepares a so-called “onboarding” programme. It consists of a kick-off meeting to plan the rest of the process, implementation of the customer in the system, a status meeting once that is done, and then training. All with close follow-up of the customer throughout.

New user manuals have also been created that explain the process step by step, in both text and video. Free support is available every weekday between 8:00 and 16:00, and there is a support page on the website with articles on various topics. Last but not least, it is also possible to sign a “Kompis agreement”, where Rubic does the whole job for you.

“We have found the cooperation to be very good, both with Lisa-Marie and Rune, who we have had the most contact with, and also with the developers, who have taken part in meetings and are available for questions.

I would particularly praise them for their availability – we can call at any time of the day or night. That is a real reassurance for us, which we take with us into the events in March 2023.”

– Jonas Islann Fremstad, marketing coordinator and volunteer manager at Holmenkollen Skifestival.
