Rubic facility calendar: “The dream tool for pitch and resource allocation”

Dream tool for pitch and resource allocation

If you are responsible for pitch allocation in a club or are the general manager of an association, you are probably familiar with the challenges of keeping track of many pitches, halls and premises while training sessions and matches have to be planned and updates sent to parents, coaches and opposing teams. You can now forget all that: with Rubic's facility calendar you have a full overview of your organisation's pitches, halls and premises in one place.

– The facility calendar is a module in Rubic's solutions that can also be found in the Rubic Connect app. The new module is a further development of the pitch allocation tool and the LagetMitt app, which customers who have been with us for a while will probably already know. Almost all of the features mentioned in this article are already in place, while a few will be launched in the near future, explains Anders Retterås, head of the development department at Rubic AS.

Facilities and access control

The facility calendar makes it easy to set up regular training sessions, make quick changes and plan resource allocation across pitches and halls. You can also control who has access to the various premises, and unlock doors with your own mobile phone.

– The access control in the app makes it possible to give specific people access to doors and premises based on their permissions and time periods. This can be aimed at either a single person or a group, and once people have been given access, they can unlock doors using a button that becomes available in the app. This makes administration simple and seamless, Retterås continues.

NIF, FIKS football and TurneringsAdmin (TA)

The Rubic Connect app will also be integrated with the Norwegian Confederation of Sports (NIF), FIKS football and match lists from TurneringsAdmin. This gives you a full overview of training sessions, matches, cups and tournaments in one place. Parents and other stakeholders can then easily keep up to date on all activities through the app, and notifications of changes are sent automatically to everyone involved.

Connected to the membership system

The facility calendar is connected to Rubic's membership system, which gives the club or association up-to-date member lists that are essential for all communication, invoicing, licensing and financial support. Whether you are responsible for the members of a sports club or an association, up-to-date member lists will make everyday life easier for everyone.

– In addition, Rubic's resource calendar will eventually be connected to screens at arenas, in clubhouses or on the website, making all information available to everyone. This will provide a dynamic experience and make it easy to plan and run events, continues Kim Sandvold, full-stack developer at Rubic.

New hire with important expertise

Sandvold was hired in June 2022 and has been an important part of the team working on developing the facility calendar.

– The further development of the calendar was planned long before I was hired, but there simply weren't enough resources for it. So this became my first task. I brought with me 10 years of experience as a developer of course, membership and training systems at companies such as Securinet and Hansson Technologies. While my colleagues have the knowledge of the industry and sports clubs, I could contribute knowledge of the technology.

Sandvold also works on other features in Rubic, front end, back end and across the modules. He is also responsible for training the recently hired apprentice.

  • I learn an enormous amount myself from teaching others. It forces me to always stay up to date on all fronts. A win-win situation.

Continuously evolving

Rubic's membership systems are used by sports clubs, event organisers and associations alike. They have also been developed further through collaboration and customisation for national federations such as Norsk selskap for fotografi (NSFF) and Norges Skytterforbund (NSF), as well as large voluntary organisations such as Norway Cup and Holmenkollen Skifestival with very particular and complex challenges.

The system is under continuous development to keep improving the solutions and create new features, based on customer feedback. In a short period of time, the development department has been strengthened with three new developers, and this autumn the same department will get a new apprentice. Together there will then be eight developers working on this. This gives Rubic a major competitive advantage, which in turn benefits customers.
